Tasks | - Improving the quality of the program learning outcomes in order to match labor market.

- Meeting the academic credential requirements for the program according to the quality standards specified by the Education and Training Evaluation Commission.
- Spread the quality culture in the program.
- Periodical review of the Program’s vision, missions and learning outcomes.

The Coordination Committee |
Description | The coordination committee (CR) is a committee that works hand in hand with the quality assurance unit. It seeks to implement the courses’ coordination process among course’s instructors in the department. Its main aim is to ensure that the coordination process applied properly and accurately to fulfill the quality requirements. |
Tasks | - Assigning Courses’ coordinators at the beginning of each academic term.
- Organizing the coordination process between faculty members. By requiring three coordination forms, course reports (CR), and unified course reports (UCR).
- Dividing the committee members’ responsibilities and assigning the follow-up procedure.
- Gathering the data received and filing the committee’s end of term report:
- Solving Course specification problems and general coordination problems e.g. agreeing on the course syllabus, methods of assessment, exams, and distribution of grades.

The Schedule Committee |
Mission | The committee works on initializing the academic system to build a comprehensive curriculum that includes course schedules, room numbers, and faculty member names for all the courses in the department. This process is done based on academic plans in collaboration with the vice-chair of the English department, the academic affairs unit in the College of Humanities and Social Sciences, and the Deanship of Admission and Registration Affairs. |
Goals | - Building students’ academic schedules for each level, assigning a faculty member for each section, and allocating the sections to the rooms.
- Supervising the process of program statistics especially when it comes to the number of freshman and expected to graduate students, current old plan students, and students expected to enroll next semester in order to ensure that the number of students fits the offered number of sections.
- Coordinating with the other departments and colleges that offer general requirement, supporting, and free courses to schedule the suitable number of sections according to the available timetable.
- Following up with schedule updates that take place during the add and drop week to solve any problems related to the registration process.

Final Exams Committee |
Description | The Final Exams Committee is one of the Committees of the Department English Language & Literature, which is concerned with building the final exam schedule in the periods approved by the Deanship of Admission and Registration for each semester. The committee’s work also includes supervising the final exams and assigning invigilators to General Requirements exams, postgraduate exams (midterm and final), and admission tests for the master's and doctoral programs. |
Tasks | Final Exams Schedule: The final exams schedule is built based on the information provided by the Schedules Committee, which includes the courses offered for the next semester according to level and the elective courses. The committee aims at building a schedule that takes into account the following to avoid any overlap: - Courses in the same level
- Courses in two successive levels
- Pre-requisite Courses
Upon completion of the schedule, it is sent to the department's Schedules Committee to log into the system. At the beginning of the semester and after completing the add and drop process to ensure the stability of numbers in the sections, detailed tables are built for the final exams. The official Arabic table is sent to the college and t he faculty and student tables are made available to both. The rooms are assigned for each section in addition to the invigilators. Supervising Final Exams: During the final exams, the members of the committee carry out the tasks of supervising the final exams, which include the following: - Be available half an hour before the beginning of each period
- Prepare the necessary forms
- Ensure that the exam rooms are organized
- Hang the information for each exam outside of the exam rooms
- Assist students in locating exam rooms
- Ensure that all invigilators are present
- Ensure that the two invigilators assigned for each room are present throughout the exam period
- Provide the supplies needed during the exams
- Follow the guidelines received from the College and the Dean’s office

Main Higher Studies Unit |
Tasks | Preparing Schedules: - Prepare and entering schedules and halls into the academic system after being approved by the sub-graduate studies committees (linguistics - literature).
- Contact the college academic affairs unit to book classrooms and broadcasting rooms.
- Send schedules to faculty members to complete office hours and committees, and handing them over to the study schedules committee.
- Raise requests to the college to change rooms if needed.
Registration: - Contact the Student Affairs Unit in the Deanship of higher studies to complete the schedule on the system for special cases.
- Revising and checking the student database after being updated by the coordinators of the sub-committees.
Academic Advising: - Review the advisors and supervisors’ database after receiving the updates by the coordinators of the sub-committees.
- Submit the forms to link male and female students with the academic advisors and supervisors to the Deanship.
Student Affairs:
- Communicate with the Deanship of Postgraduate Studies for updates on the regulations for the master's and PhD programs, as well as new procedures for postgraduate students.
- Provide the coordinators of the sub-committees with the decisions of the graduate studies unit in the department and the deanship to send to students and faculty members.
- Submit applications for extension and re-registration to the department council.
- Follow up on the completion of the viva discussion procedures after setting the date for the discussion (such as booking the halls / raising the hall operation notification / obtaining permits) with the sub-committee coordinator.
Midterm and Final Exams: - Send the final exams schedule to the graduate studies unit in the college to book rooms.
- Send the final exams schedule to the exams committee to provide invigilators.
- Send room information to the students and post the information on the room door on the day of the test.
Comprehensive Test: - Process comprehensive exam registration provided by the sub-committees.
- Book rooms for the comprehensive examination of the written and oral parts.
- Contact the exams committee to provide invigilators.
Postgraduate Admission Test: - Book the rooms for the admission tests.
- Contact the exams committee to provide invigilators.
- Prepare signs for room location and post them.
- Photocopy and prepare the test questions with a signature list of the names of the candidates.
- Process the final lists sent by the sub-committees by sending them to the department chair.

Tasks | Registration: - Fill out the course registration form for female students manually for those who were unable to register through the electronic portal after confirming the courses offered for her in the system and submitting it to the principal graduate studies coordinator for processing.
- Track graduate students’ registration (MA and PhD) in each major at the beginning of each semester and contact the academic advisors if a student has a problem.
- Update the students' database periodically and submitting a copy to the principal graduate coordinator.
Academic Advising: - Conduct an orientation meeting for all postgraduate students and answer their questions.
- Update the database of advisors and supervisors and submit a copy to the principal graduate coordinator.
- Update the advisory lists annually and submit a copy to the principal graduate studies coordinator.
- Fill out the forms for linking male and female students with the academic advisors.
- Inform the students of their academic advisors, and send an email to faculty members of the advisors’ tasks and the necessary forms.
Student Affairs: - Run regular checks on the academic status of female and male students on the academic system.
- Communicate with students by e-mail and the Tawasul system, and respond to their inquiries.
- Send students announcements on beneficial events, workshops, courses, meetings and discussions.
- Provide students and supervisors with the Deanship's forms related to re-registration, extension and formation of discussion committees.
- Provide faculty members and students with the decisions of the Graduate Studies Unit in the department and the deanship.
- Announce annual academic dates for registration, drop, postponements and graduation procedures when received from the Deanship.
- Follow up the requests to form viva committees and complete the discussion procedures after setting the date for the discussion.
- Register students in the proposal course and arrange the panel for proposal defense and send the forms to the higher studies unit.
- Book rooms for viva and proposals.
- Orient students on the proposal process.
Midterm and Final Exams: - Communicate with the male section lecturers to know the dates of the midterms and finals.
- Receive the final exam questions of male instructors, photograph and prepare them and arrange sending them to the instructor in a sealed envelope.
Comprehensive Test: - Process the annual assignment of the comprehensive exams committee.
- Arrange for students’ meeting with the comprehensive committee representative.
- Assisting in all tasks of comprehensive examination procedures for doctoral students in coordination with the coordinator of the main graduate studies unit, such as: preparing rooms / monitoring the test.
Postgraduate Admissions: - Annually revise and submit the admission conditions and approve them from the department council.
- Form the admissions committee to include additional members if needed and outline tasks and procedures.
- Receive the names of the nominees from the admission committee and process to the main unit.
- Assist in all the tasks of postgraduate admission examination procedures in coordination with the main graduate studies unit, such as: preparing rooms / invigilation / preparing signs…etc.
- Communicate with male and female applicants during the admission procedures.

Course Equivalency Committee for Transfer Students and Visiting Students |
Tasks | - Sorting and reviewing of documents related to students transferring from an external university or from within the university from a different college, received from the student or from the Deanship of Admissions and Registration and supplementing with all required data.
- Verifying and reviewing transcripts and course specifications to make sure course equivalency meet all statutory requirement and are aligned with department regulations.
- Sending approved requests utilizing assigned forms to the College and the Deanship of Admissions and Registration.
- Receiving student requests regarding the equivalence of courses for visiting students, reviewing relevant course specifications and sending approval letters to the College.
- Documentation of all equivalency requests.

Mission | As a committee our aim is to plan and implement workshops and events throughout the year, focused towards academic, social, and personal development. We aim to provide students with real and tangible information students need to know for the job market -- how to write up your CV, prepare for a job interview and many more soft skills. Catering to both graduate and near graduates of the English Language and Literature Department; this committee has been designed to strengthen the relationship between alumni associates and department and to equip near graduates with some of the necessary professional skills in the job market. Contacting alumni will hopefully solidify the relationship with the department, which, in turn, will get them further interested in investing in the program. Nonetheless, another primary objective is to prepare near-graduates for their potential careers by offering workshops every semester and updating them regarding events/fairs held on university level. |
Vision | In collaboration with the College of Arts Graduation Unit, our vision is to cater to our graduating students’ needs. To provide guidance to our currents students in their endeavour for better employment and higher studies through our workshops, events and other extracurricular activities provided by the department. |
Tasks | - To regularly arrange workshops and other events aimed at enhancing student awareness and soft skills for and towards the job market.
- To collect data on students about to graduate from the department.
- To meet the requirements requested by the Quality and Assurance Committee.
- To enhance and expand the Alumni Committees’ database at the English Language and Literature Department and stay connected and up to date with all our previous students by filling out the surveys and forms. A survey has also been uploaded on the department graduate committee’s webpage in order to keep record of students’ career achievements.
- Establishing a database regarding department graduates includes:
- Students’ basic information including their names and the academic year and semester by which they graduated.
- Students’ GPAs.
- Students’ updated contact information.
- Two of the workshops on How to Write a CV and How to Prepare for a Job Interview are conducted every semester in collaboration with the Practicum Committee.
- To research the changes in the job markets and to survey the needs of the job market for our graduates.
- To write up the annual report towards the end of the year covering all achievements and information on what our committee has achieved throughout the academic year.
